What we hold,and what we do with it.

The short version

• Just looking? We hold nothing. This site sets no cookies and runs no analytics. There is no tracking here to turn off.
• Sent us an event? We keep what you sent. Your answers, your poster, your name and your email address, so a person at CAHN can read it and reply.
• Your email address is never published. Not on the listing, not in the page source, not anywhere on the public site.
• We keep submissions rather than deleting them. The reasons are below, and so is how to ask us to remove your details.

When you are just looking at the calendar

We do not set any cookies. We do not run Google Analytics or any other analytics or tracking product, so there is no profile of you being built here and no consent banner to click through, because there is nothing to consent to.

The site is hosted by Cloudflare. Like any web host, their network handles the request your browser makes and holds short term operational records of that traffic in order to serve the site and protect it from attack. That happens for every website you visit and it is not something we can see individual visitors in.

Some links take you off this site, to an organiser’s own page, to a ticket seller, or to CAHN’s own website and social accounts. Once you follow one of those you are on somebody else’s site under their privacy policy, not ours.

When you send us an event

We store the answers you gave, exactly as you gave them, along with your poster if you attached one. That is the whole submission: what the event is, when and where it is, who is running it, how much it costs, and how to reach you about it.

The parts that are about you rather than about the event are your name or your organisation’s name, your contact email address, and your website if you gave one. We also record the date and time it arrived, and we add a reference number so we can find it again.

We do not ask for and do not store your phone number, your postal address, your date of birth, or anything about your health, background or beliefs. There is no account to create and no password to set, because there is nothing here to log in to.

The form has two quiet checks to keep automated spam out: a hidden box that a person never sees or fills in, and a check on how long the form was open before it was sent. Neither is kept. They decide whether a submission is accepted and are then gone.

Our server keeps a short technical record of each submission attempt saying only what happened to it, for example that one was received and stored, or that one was refused as spam. It contains none of your answers, not your name and not your email address.

What gets published, and what never does

If a CAHN admin approves your event, the listing on the calendar carries the event details and the organiser name you gave us, along with your poster, your website and your booking link. That is the point of sending it: it is a public listing.

Your contact email address is never published. It is not on the listing and it is not hidden in the page for someone to find. It exists so that a person at CAHN can come back to you about your event, and that is the only thing it is used for. We will not add you to a mailing list, and we will not pass it to anyone else.

Bear in mind that the name you give us as the organiser is published. If you would rather your own name did not appear, give us the name of your group or organisation instead.

Who can see it

Submissions are read by a small number of named CAHN staff, two or three people, who review the calendar. The review page is behind a sign in that Cloudflare operates for us, so only those named accounts can open it. Nobody else at CAHN and nobody outside CAHN has access to it.

We do not sell anything to anybody, and we do not share submissions with GMCA or with any other organisation. The one exception is the ordinary one: if we were legally required to hand something over, we would have to.

Where it is kept

Your answers are kept in a database, and your poster is kept separately in file storage, because an image does not belong in a database. Both are run by Cloudflare, both are in their western Europe region, and both sit on an account belonging to CAHN. Cloudflare hold all of it on our behalf and do not use it for anything of their own.

The file storage holding posters is private. There is no public web address for your artwork: when a CAHN admin looks at it, this site fetches it and shows it to them, and nobody without a sign in can reach it.

How long we keep it, and why

We keep submissions, including ones we were not able to list. There is no timer on this and nothing is removed automatically. There are two reasons, and both are about being able to answer for what we did.

• A person reads and decides every submission, and we need to be able to show that, including which decision was taken, why, and by whom. That matters most for the ones we could not list.
• If you send us the same event again, or come back next year, we want to recognise you rather than treat you as a stranger and ask you everything twice.

What we hold is reviewed each year when the calendar is handed over to the next year’s administrators. That is a job somebody does and looks at, rather than something that happens quietly in the background.

Why we are allowed to hold it

Our lawful basis is legitimate interests: running a free public listing of Black History Month events across Greater Manchester, and keeping an accountable record of the editorial decisions behind it.

We have deliberately not called this consent. Asking us to list your event is not the same as agreeing to something, and treating it as consent would suggest that withdrawing it makes the record of our decision disappear, which would not be honest.

Your rights, and one honest limit

You can ask us what we hold about you, ask us to correct it, and ask us to remove it. Email bhm@cahn.org.uk and a person will answer. That is the same address as the one for taking a listing down.

The limit, stated plainly. Where we were not able to list an event, we keep the record of that decision, the reason for it, and who made it, and a log of changes made to the listing, because it is a record of something CAHN did rather than information about you. If you ask us to remove your details, we take out the things that identify you, your name, your email address and your website, and keep the decision itself. We will tell you that is what we have done.

If you are not happy with how we have handled your information you can complain to the Information Commissioner’s Office, the UK regulator, at ico.org.uk.
